1. Who we are

Heywave is a multi-tenant WhatsApp automation platform. It lets businesses connect their own WhatsApp accounts, send and receive messages and media, configure AI-powered auto-replies, and integrate with the platform over a REST API. The Service is operated as an individual business by Sandeep Kumar Patel, based in Jaunpur, Uttar Pradesh, India.

2. Information we collect

a. Account information

When you register, we collect your username, name, email address, phone number, and a securely hashed password. We never store your password in plain text.

b. WhatsApp connection & session data

To connect a WhatsApp account, you scan a QR code. The resulting WhatsApp Web session is stored on our server so you do not have to re-scan on every use. We do not receive or store your WhatsApp password.

c. Message and contact data

To deliver core features, the Service processes the phone numbers, message content, and media you send through it, and the messages your connected accounts receive. Where you enable AI auto-reply or conversation memory, recent message history for a chat is stored to provide context to the AI model. You are responsible for the contacts and content you process and for having a lawful basis to message them.

d. AI configuration

If you enable AI features, you provide your own AI provider API key (for example, Groq, OpenAI, or Anthropic). To generate replies, relevant message content is transmitted to the AI provider you configure. That provider processes the data under its own terms and privacy policy.

e. Payment information

Payments are processed by our payment gateways — Razorpay (INR) and PayPal (USD, international). We do not collect or store your card number, CVV, UPI PIN, or bank credentials — these are handled entirely by Razorpay or PayPal on their PCI-DSS-compliant systems. We retain only payment metadata such as plan, amount, currency, status, and the gateway reference/transaction IDs needed to activate your subscription and maintain records.

f. Technical and usage data

We automatically collect limited technical information such as log timestamps, error events, and basic usage activity to operate, secure, and improve the Service.

3. How we use your information

To create and manage your account and authenticate your sessions.
To provide the Service: connecting WhatsApp accounts, sending/receiving messages and media, AI auto-replies, campaigns, and webhook delivery.
To process subscription payments and activate or renew your plan.
To forward incoming WhatsApp events to a webhook URL that you configure.
To provide support, respond to your requests, and send service-related notices.
To monitor, secure, troubleshoot, and improve the Service.
To comply with legal obligations and enforce our Terms & Conditions.

4. WhatsApp and third-party services

Heywave automates an unofficial WhatsApp Web session on your behalf. WhatsApp is a trademark of its respective owner and is not affiliated with, and does not endorse, Heywave. Your use of WhatsApp through the Service must comply with WhatsApp’s own terms and policies. You are solely responsible for ensuring you have consent to message your recipients and for avoiding spam or prohibited content.

5. Sharing and disclosure

We do not sell your personal information. We share data only:

With service providers that help us operate the Service — our payment gateway (Razorpay), hosting/infrastructure providers, and the AI providers you choose to configure.
To the webhook endpoints you yourself configure to receive incoming events.
When required by law, regulation, legal process, or a lawful government request.
To protect the rights, property, or safety of Heywave, our users, or the public.

6. Data retention

We retain your account and transactional data for as long as your account is active and as needed to provide the Service, comply with legal/accounting obligations, resolve disputes, and enforce our agreements. You may request deletion of your account by contacting us; some records (for example, payment records) may be retained for the period required by law.

7. Data security

We use reasonable technical and organisational measures to protect your data, including encrypted transport (HTTPS), hashed passwords, token-based access controls, and server-side handling of credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Subject to applicable law, you may access, correct, or update your account information, withdraw consent, or request deletion of your personal data. To exercise these rights, contact us using the details below. We may need to verify your identity before acting on a request.

9. Cookies

The dashboard uses strictly necessary, secure, HTTP-only cookies to keep you signed in. These are required for authentication and are not used for third-party advertising.
